What to engrave on a pen: names, initials and messages that last

Engraving is permanent. That single fact is why most people hesitate for a while before ordering, and it is worth taking five minutes to get right. This guide covers what actually fits on a pen barrel, what tends to be regretted, and what we would suggest for the occasions we see most often.

How much text fits on a pen

Our personaliser allows up to 20 characters, including spaces. That limit is not arbitrary. The engraving area on a pen barrel is a narrow band, usually between the trim and the clip, and text has to stay legible at that size. Push past twenty characters and letters have to shrink to the point where they stop reading cleanly, particularly in script fonts.

As a rough guide:

  • A first name — Sarah, Michael, Priya — sits comfortably and looks generous on the barrel
  • A full name — Sarah Whitfield — fits, but runs closer to the ends
  • Initials — S.J.W. — the most classic option, and the one that ages best
  • A short phrase — Thank you, Sarah — works if it is genuinely short

The three things people regret

Dates that need explaining. A date engraved alone — 12.06.2026 — means everything on the day and very little a decade later. If the date matters, pair it with something: M.T. 12.06.26.

Job titles. Roles change. "Head of Sales" dates a pen the moment someone is promoted, and it turns a personal object into a corporate one. A name outlasts a job.

Nicknames only the giver uses. A pen is often used in front of clients, colleagues or examiners. Something affectionate in private can be awkward in a meeting. If in doubt, engrave the name they introduce themselves with.

What to engrave, by occasion

Retirement

The instinct is to mark the years of service, and it usually works better than it sounds — but keep it short. J. Harrow 1989–2026 reads well. Adding the company name rarely does; the pen belongs to them now, not to the firm.

Graduation and qualification

New solicitors, doctors, teachers and accountants all get pens, and this is the one case where a qualification can be worth engraving, because it marks an achievement rather than a job. Dr A. Nadeem or A. Nadeem LLB both work. Ask first whether they use post-nominals — some do, some find it stiff.

Wedding party gifts

Names or initials, one per recipient. If you are ordering several, send us the list and we will match each pen to its person and label the boxes, so you are not opening six identical packages trying to work out which is which.

Thank you and long service

A name is enough. If you want warmth, Thank you, Ellie fits within the limit and says more than a date would.

A gift to yourself

Initials. Almost everyone who engraves their own pen chooses initials, and almost nobody regrets it.

Spelling, punctuation and capitals

We engrave exactly what you type, character for character. We do not correct spelling, adjust capitals or add punctuation, because we have no way of knowing whether MacDonald or Macdonald is the correct one for your recipient.

Three things worth checking before you order:

  • Accents and diacritics — Zoë, José, Björn. Type them properly; they engrave properly.
  • Double letters and silent letters — Phillipa and Philippa are different people.
  • Capitals in surnames — O'Neill, McKenzie, van der Berg.

If you are unsure about a name, ask the person or check how they sign an email. It is a far easier conversation than replacing an engraved pen.
